Workflow Part 1

1. Accessing the Documents

On your home screen you will see the following icon

If you have not done Part 1 before you may be prompted to download OCR. This will take a minute.

The arrow pointing down indicates that you are working from oldest to newest

2. Gaining Ownership of a batch of Documents

Select the oldest batch

Batches may have an owner - if you choose to work on that batch make sure that the previous owner is not doing the same

If you have finished the batch, but you are no longer working on it make sure you withdraw ownership

3. Selecting the Document Details

Patient Thread Notification

Make sure you do a thorough verification of the patient details! DOB, NHS Number and Address where possible

Once selected the correct patient the information will auto-populate

The sender address can be found on the organisational directory. If it cannot be found can be left blank. The system may offer recommendations

To populate the recipient address just click on the house icon

The remaining steps in this section are to verify the pre-populated codes (if unsure you can leave them for the workflow team to double check)

Once all processing actions have taken select Confirm

4. Scanning Actions

You will need to check the content of the letter at this stage to ensure there are no time sensitive/ critical actions

Safeguarding Letters need to be completed and a task needs to be sent to the Safeguarding Group (Sending task function has been highlighted in yellow)

If no urgent action is need the letter should be forwarded to the workflow team

Once completed you can move on to the next step
